What is Secure Email?

Secure Email refers to a process by which incoming and outgoing Aspiriant email is encrypted. The email cannot be read while in transit or if intercepted, amid delivery. This service goes by many names: email encryption, policy-based encryption, secure messaging, etc.

Why is Aspiriant using Secure Email?

Cybersecurity is a high priority at Aspiriant. Sending, viewing and receiving emails and documents through our Secure Messaging service helps us protect our clients' personal information. We appreciate you taking the necessary extra steps to communicate with us this way.

Q.

How will I receive Secure Email from Aspiriant?

Secure Email will arrive in your inbox from an Aspiriant address with the subject line that the sender has specified. When you open the item, rather than displaying the contents automatically, the message will notify you that the email is ready for retrieval from the Secure Message Center. The email will contain a link to the Message Center where you can set a password and log in to view, download and/or respond to the message.

How do I send Secure Email to Aspiriant?

When you receive a Secure Email from Aspiriant and log into the Message Portal, you will see options to "Reply" or "Reply to All" to send a secure communication back to the sender. Furthermore, you may initiate a new Secure Email to any aspiriant.com address by logging into the Message Portal and composing a message. If you have never logged into the Message Portal, you may ask an Aspiriant contact to send you a Secure Email that contains a link to the site and a way to respond securely.

What type of messages will be sent through Secure Email?

Not all messages will be sent through Secure Email. The system will primarily be used for any email message or attachment that contains personal information, such as a Social Security number, driver's license number, state-issued identification number, financial account number and/or credit or debit card number. Of course, we may also use our discretion to secure any information that we might otherwise consider sensitive. Please feel free to discuss this topic with your client service team to ensure that Secure Email is used to an appropriate degree for your circumstances.

How long are messages stored in the Secure Message Portal?

Messages reside in the Message Portal for 28 days. After that period they are deleted whether they have been read or not.

Q.

How do I save messages and attachments from the Secure Message Portal?

The Message Portal interface provides links to print the message and download attachments to the location of your choice. This functionality is much the same as downloading files from other sites on the Internet.

What if I forget my password to the Secure Message Portal?

From the Message Portal, enter your email address and click Next, click the "Forgot Your Password?" link on the login page or click here. You will receive an email with a link to reset your password.

What if I have multiple email addresses, which should I use to log in?

The secure email system works on a "one account per email address" basis. If you use multiple email addresses to correspond with Aspiriant via the secure email portal, you will have separate logins for each email address. The system cannot link multiple email addresses to a single account login. Please be sure you've separately registered each email address you actively use to correspond with Aspiriant and you are logging in with the email address to which the secure message was sent to view it.

If you are having trouble logging in from a computer:

Clearing your browser cache could help with accessing the Secure Message Portal
• For Chrome or Edge: press CTRL + SHIFT + DEL
• For Safari: press OPTION + COMMAND + E

If you are having trouble logging in from an Apple IOS device, try these steps:

Go to the Secure Portal in Safari on your IOS device:
• When it has fully loaded, tap the aA icon in the address bar
• From the menu that appears, choose Website Settings
• Under the top "While Viewing..." section, toggle ON Request Desktop Website.
• Tap Done

How can I get help using the Secure Message Portal?

If you are having difficulties logging into the Secure Message Portal, ask your client service team or Aspiriant representative for a copy of our Secure Messaging Guide which can be sent through regular email. Helpful documentation and instructions are also available in the Mimecast Guide.
